How to enable Google Drive and set up a Shared Folder

For many organizations, Google Drive might easily replace the need for local shared file storage. Here’s how to setup and configure an organization-wide shared folder within Google Drive.

Note: These instructions assume that you are using Google Apps and that your Google Apps administrator has enabled Google Drive for your domain from the Control Panel.

Enable and Install Google Drive

1. Go to http://drive.google.com/start. Click on the blue “Get started with 5Gb free” button.

The renamed “Docs” screen will now display as “Drive”.

3. Click on the “Download Google Drive” (for PC or Mac, depending on your system).

You will then need to accept the terms of service. Click on “Accept and Install”.

4. Sign in to Google Drive with your Google Apps email and password. (If your organization uses two-factor authentication, you may need to verify your six digit code, as well.)

5. You’ll then see two “Getting started” screens. Read how Google Drive works on the first, then click next.

Optional: If you want to selectively sync files, click the “Advanced Setup” button.

Otherwise, click “Start sync”. This will sync all existing files from your former Google Docs – now Google Drive – account to your desktop.

Then, wait for the files to sync. When Google Drive is set up on a Windows 7 system, you’ll see the Google Drive icon in your system tray in the lower right corner of your desktop.

Setup a Shared Folder with Google Drive

1. Login to Google Drive with your web browser.

2. Next, you’ll create a folder. Click “Create” in the upper left, then click on “Folder”.

Name the folder something meaningful for you and your colleagues, such as “Shared Files”, and then click “Create”.

The folder will now appear in the list of folders on the left side of the screen. Be sure the “My Drive” drop-down triangle points downward to display the folders.

3. Now we need to share the folder. To do this, move your cursor over the folder name. A drop down arrow will appear. Click this, then select Share, and then Share from the additional sub-menu.

Here, you can choose to share the folder with specific people (via their email address). For our purposes, we’ll share the folder with everyone in the organization. To do this, click the word “Change” found just under – and to the right of – the “Who has access” heading.

Change the Visibility option as desired. In my case, I shared the folder with everyone at my domain. Be sure to check the box to “Allow anyone within (your domain) to edit” if you want to use this as an organization-wide shared folder.

4. Finally, people with access to the shared folder can now find it and add it to their Google Drive.

Users with access to the folder should now be able to search for the folder name while viewing their Google Drive files in a web browser.

When they see the new shared folder, they can drag-and-drop it from the file listing (under the word “Title”) to the “My Drive” list at the left of their screen.

From now on, any files added to this folder by users with edit permissions will automatically sync to Google Drive – and then sync to all connected Google Drive accounts on local computers.

Now you can enjoy a powerful file viewing, commenting, editing and syncing tool on your desktop and in your browser. You may never need to use a USB flash drive again.

Here’s what people can do with folders after you share it with them:

  • Can organize, add, & edit: If they’re signed into a Google account, people can open, edit, delete, or move any files within the folder. People can also add files to the folder.
  • Can view only: People can see the folder and they can open all files within the folder.

More about folder sharing:

  • If you share or unshare folders with a lot of files or subfolders, it might take time before all permissions change. If you change a lot of edit or view permissions at once, it might take time before you see the changes.

Tip: In the meantime, to provide folder access for new collaborators, use the Sharing URL of a file nested deeply inside the folder.

  • Storage is counted against the person who uploaded the file, not the owner of the folder.
  • When you manage large folder structures, child and parent folder permissions can be different. You can override inherited permissions of child folders to be different than the parent folder. You can also remove parent permissions from a child folder.

How to share folders

Like files, you can choose to share with only specific people that have a Google Account.

  1. On your Android device, open the Google Driveapp.
  2. Next to the folder’s name, tap More .
  3. Tap Share .
  4. Type the email address or Google Group you want to share with.
  5. To choose whether a person can view, comment, or edit the file, tap the Down arrow .

  6. Tap Send . An email is sent to people you shared with.

To share something with more than one person without entering individual email addresses, you can create a link that allows anyone to open it.

  1. On your Android device, open the Google Driveapp.
  2. Next to the folder’s name, tap More .
  3. Tap Link sharing off. Link sharing will be turned on and the link will be automatically copied.
  4. Paste the link in an email or any place you want to share it.

Share with a Google Group

You can share files and folders with Google Groups instead of individual people. When you add to or remove members from the group, they will gain or lose permission to the files and folders that the group can see or use.

Change sharing permissions of shared folders

When you share a folder, the files and subfolders inside will have the same status as the folder you share:

  • Can organize, add, & edit: People can open, edit, delete, or move any files within the folder. People can also add files to the folder.
  • Can view only: People can see the folder and they can open all files within the folder.

If you want to change how specific files are shared, you can do so after you’ve shared the folder.

To make someone else the owner of a folder, go to drive.google.com on a computer.

When someone deletes a file from a shared folder, everyone except the owner of the file will lose access.

1. Launch the Google Drive app on your device. Tap the folder icon at the bottom right of the screen to be taken to a list of all files.

2. Tap the three-dot menu at the right of the file you want to remove.

3. Scroll down the menu that appears to locate the Remove option and tap Remove. The file will be sent to your Google Drive trash.

You can remove files you own as well as files that have been shared with you. However, removing a shared file from your account only removes it from your view. The file owner will still own the file and have access to it.

Calls to drives.insert are idempotent. The requestId parameter identifies the logical attempt to create the shared drive. If the request times out or returns an indeterminate backend error, the same request may be repeated. The requestId and body of the request must remain the same.

If the shared drive was successfully created on a previous request or as a result of a retry, the normal response is returned. In some cases, such as after a prolonged period of time or if the body of the request has changed, a 409 error may be returned indicating the requestId must be discarded.

Add or remove shared drive members

Add or remove shared drive members using the permissions API.

To add a member, create the permission on the shared drive itself. Permission methods can also be used on individual files within a shared drive to grant members additional privileges or allow non-members to collaborate on specific items.

Delete a shared drive

Use the drives.delete method to delete a shared drive. All content in the shared drive must be trashed or deleted prior to deleting the shared drive.

Manage shared drives for domain administrators

Use the useDomainAdminAccess parameter with the drives and permissions resources to manage shared drives across an organization.

Users calling these methods with useDomainAdminAccess=true must have the Drive and Docs administrator privilege. Administrators can search for shared drives or update permissions for shared drives owned by their organization, regardless of the admin's membership in any given shared drive.

If you upload a file with the same name, Google Drive will upload the file as a revision of the file already in Google Drive.

If I were to remove someone from a shared folder, do they take their files with them? If so, from an archival standpoint, is the best course of action to duplicate all such files so that they are owned by the same person and then transfer the lot en masse to the next owner? Will the duplicated files store revision history? Or is that the cost of transferring files?

If I were to remove someone from a shared folder, do they take their files with them?

No. The files will remain in the folder, but they will also remain to be owned by the user who left. That user will not see the folder in their Google Drive, but they will be able to find the files by using is:unorganized search (which is meant precisely for finding such orphaned file). From those search results, they will be able to edit or delete the files. And when the file owner deletes a file, it’s gone for everyone.

To avoid potential file deletion, you want to make sure every file you need is owned by you (or someone who remains in the company). This can be achieved if either

  1. The departing worker transfers file ownership to you.
  2. You make own copy of the file.

The first version is preferable, as it preserves the revision history; making a copy of a file does not.

By the way, transfering ownership of a folder does not imply the same for the files it contains. It’s best to think of Google Drive folders as labels: they are convenient for organizing things, but do not really “contain” them.
