How to add a file to sharepoint

Files stored on a SharePoint site are typically accessible to anyone with site permissions, but you may want to share certain files or folders with people who otherwise don’t have access to the site. When you share files and folders, you can choose whether to allow others to edit them or just view them. You can check who a SharePoint file has been shared with, stop sharing SharePoint files or folders, or change permissions at any time.

Share a file or folder

Here’s how to share files or folders in SharePoint:

Select the file or folder you want to share, and then select Share.

(Optional) Select the drop-down list to change the link type. The Details pane opens, where you can change who can access the link and whether people can edit the item you’re sharing.

Options for Who would you like this link to work for (options vary based on admin settings):

Anyone gives access to anyone who receives this link, whether they receive it directly from you or forwarded from someone else. This can include people outside your organization.

Note: This option is not available in SharePoint Server 2019.

People in gives anyone in your organization who has the link access to the file, whether they receive it directly from you or forwarded from someone else.

People with existing access can be used by people who already have access to the document or folder. Use it if you just want to send a link to someone who already has access.

Specific people gives access only to the people you specify, although other people may already have access. If people forward a sharing invitation, only people who already have access to the item can use the link.

Note: If a sharing option has been greyed out, your organization’s admins may have restricted them. Dexample, they may choose to disable the Anyone option to prevent usable links being forwarded to others.

By default, Allow editing is turned on. If you want other people to only see your files, deselect this checkbox.

When you’re done, select Apply.

Enter the names of the people you want to share and a message if you wish.

When you’re ready to send the link, select Send.

Get a link to a file or folder that you can copy

Another way to share is to get a link to a file or folder that you can copy and paste into a text message or website. The people you share these links with can also pass your link to others.

In SharePoint, select Copy link. The link is automatically copied to the clipboard.

The permission granted by the sharing link lasts only as long as the link exists. For example, when the link is disabled, access is revoked (although people may still be able to access the file in other ways)

When Allow editing is selected: After they sign in, people in your organization can edit, copy, or download the files. When Allow editing isn’t selected, people in your organization can view, and may be able to copy or download the files.

Site administrators can restrict sharing so that only owners can share files and sites.

If site administrators have not restricted sharing to site owners, any person with Edit permissions to a file or folder can share that file or folder with others by selecting Share or Copy link. People who don’t have edit permissions can use Copy link to get a link that will work for people who already have permissions to the file or folder.

Ability to create or open “Anyone” links. aspx pages are not supported.

SharePoint Online offers excellent capabilities for creating “persistent” links to files. However, it turns out that the file type and link type and browser can provide a different experience. In other words: It’s complicated.

A client recently told me that even though I had urged her to use “Copy link” with “People with existing access” to make a link to a document on a SharePoint communication site, she had determined that selecting the Path to the document was better — because links didn’t break when documents were renamed. I did some tests, saw something different than what she saw and came to a conclusion. that we were both right!

When we got together to compare why we saw the different results as expected, there was something different about what we did. Turns out we haven’t tested with the same type of document or browser. I was surprised to learn about the new SharePoint linking superpowers, but I was worried because, apparently, choosing the right way to get a document link depends on a lot of things. Fortunately, you don’t have to remember all of the use cases we tested, because there is a simple approach that will work consistently to provide the best user experiences.

In particular, we have found that link behavior is based on:

  • Browser (Edge to Chrome)
  • Web parts (hereck links and text hyperlinks)
  • Type of document (PDF vs head office)
  • Location (the page where the document is located and where it is linking)

The scenarios are complex and nuanced, but here is the crux of the matter.

File

On your siteplease use the Quick Links web part if possible. For any file type, use the Quick Links web part to locate the file and add a link to the file if it is on the site. (Be careful when using the Quick Links web part. If Loading document from that web part, you may not be able to find it again easily because it will be stored in the site resource, in a folder with the same name as the page title. It won’t “live” in a document library, which is where publishers and others can expect to find it. I always recommend that you Loading your documents to the library or folder where you want to maintain them first. After you Loading the file, usethe Quick Links web part to navigate to the file.)

Why should you use this approach? If you move or rename a file, the links will not be broken!

Unless there is a major disconnect between the Title and the file name for the page, you may want to limit changes to the file name for pages.

  • Links to a view on another site. Changing the Title of your view will not affect the link. If you change the display URL, the link will break.

When Loadinging files and folders, you need to be aware of path and file name length. SharePoint in Microsoft 365 and OneDrive supports up to 400 characters for the total file and path length. This programming task shows how to Loading a file from a local folder to a folder on a Microsoft SharePoint Foundation site. The task uses the Make sureParentFolder method to make sure the destination folder exists.

Procedures

Create an application page in Microsoft Visual Studio 2010,as described in Creating Application Parties for SharePoint.

Add an HtmlInputFile control, a text box, a button to the form, and a FormDigest control to the page.

The value that you type in the text box for the destination must be an absolute URL, including the file name, which is assigned to the destUrl parameter.

In addition to instantiating an SPWeb object for the parent site, the combined use of the SPSite constructor and the OpenWeb method validates the URL and throws a topic exception if the URL is not served by the current SharePoint Foundation deployment . The HtmlInputFile object is used to read the source file into a byte array for use with the Add method of the SPFileCollection class.

The example defines a GuaranteeParentFolder method to ensure that the parent folder in the destination URL exists in the specified site and returns the site-relative URL of the parent folder. The GuaranteeParentFolder method takes two parameters: an SPWeb object representing the parent site and a string containing the absolute URL passed by the example UploadFile method. If the parent folder does not exist, the GuaranteeParentFolder method creates it.

The GetFile method of the SPWeb class is used in conjunction with the Url property of the SPFile class to convert the URL to a site-relative URL, throwing an exception if the specified URL is not found in the site scope. The root folder URL is calculated using a string. The LastIndexOf method to determine the last appearance of a forward slash (/) in the destination URL. If there is no forward slash (in other words, the index equals -1), the target is the site’s root folder and the parentFolderUrl parameter returns an empty string. Otherwise, the example uses the GetFolder method of the SPWeb class to return the destination parent folder. If the folder does not exist, the example builds the folder.

To Loading a file from a local folder that is located on the same server that is running SharePoint Foundation, you can use a FileStream object instead. In this case, add a using directive for System. IO namespace, as well as directives for System and Microsoft. SharePoint. The UploadFile method takes two parameters. How does a unique identifier work?

As of this writing, MS Teams is gaining popularity as a communication and collaboration tool in several companies with more and more employees working from home.

There could be companies that have been using SharePoint extensively before moving to MS Teams. With the advent of MS Teams, employees would have another tool with the option to store documents and files that need to be shared between organizations.

MS teams has its own file syst e m that is managed on SharePoint. Whenever you create a new Team/Channel, MS teams provide you a File Tab where you can share and maintain files and documents.

In the background, MS teams is creating a SharePoint site where all these files will be maintained.

How does this affect user behavior?

So in a typical workflow before teams, We had SharePoint folders where we used to Loading and share the documents.

  • Now we have a situation where the team is Loadinging documents to Teams storage and indirectly forgetting to update relevant SharePoint folders.
  • Also there are folders in SharePoint that have a number of relevant documents that you might want the team to have access to. if you copy them to teams, the changes made in Teams storage won’t be reflected in the original documents if any
  • This results in multiple copies of the same file and no single source where all files are available.

This situation can be avoided by adding the SharePoint folder where the files are supposed to be added to your MS Teams Team / Channel as a Tab, where users can navigate to and store the files. The users who originally had access to the SharePoint folder will be the only ones who have access thereby ensuring security compliance as per company settings.

Limitations of the built-in option to add a Sharepoint folder

Microsoft has built-in functionality to add a Sharepoint folder to teams. The limitation of this is that it allows you to add the folder as it appears in its basic location on the SharePoint site.

The problem is, for a particular project team, you wouldn’t want to have to navigate through 3 levels of hierarchies to access the relevant project folder.

Relevant use cases

  • File are to be updated in the relevant folder in different Sharepoint groups as was done originally before teams rollout.
  • A set of files are to be maintained in the "Master Project Repository" folder in the File section of "Company" Team channel while users primarily work in "Project A / B / C" folder

Project members would find it easier if this position were available to them in the relevant project team / channel.

So how do I add a Sharepoint folder to a team / channel?

Here are the steps to follow.

  1. Navigate to the SharePoint folder you want to add
  2. Copy the link to the folder
  3. Navigate to the Team/Channel where you want to add this location as a Tab
